How do client organizations work on the Whatsable Agency plan?
On the Agency plan, the owner creates a separate Whatsable organization for each client from the organization switcher, for free. Client organizations share the plan's contacts and its 100 WhatsApp numbers, and each one includes a free seat for the client's admin.
An agency that runs WhatsApp for its clients can give each client its own Whatsable organization. On the Agency plan, the owner creates a client organization from the organization switcher. The agency's subscription pays for it, so creating one costs nothing. Each client organization has its own inbox, WhatsApp numbers, contacts, templates, AI agents, team and API keys, and shares the Agency plan's contacts and its 100 WhatsApp numbers with the agency's other organizations.
Client organizations are part of the Agency plan only. Pro and Bulk Message cannot create them. See plans.
Words on this page
- Agency organization: the organization that holds the Agency subscription. Client organizations are created from it.
- Client organization: an organization created from the agency organization and paid by its subscription.
- Your agency's organizations: the agency organization and all its client organizations, up to 100 in total.
Who can create a client organization
The owner of the agency organization. The Create client organization action appears in the organization switcher only when all of these hold:
- The organization is on an active Agency plan.
- Its billing has moved to Whatsable. On an account still billed by the old platform, client organizations open once the migration moves billing here.
- It is not itself a client organization. A client organization cannot create clients of its own.
- No plan change is scheduled that takes it off Agency at renewal.
- Your agency has fewer than 100 organizations, the agency organization included.
Admins and Members do not see the action.
Create a client organization
Open the organization switcher
In the agency organization, open the switcher. On a computer it is at the top of the sidebar. On a phone it is under More in the bottom bar.
Select Create client organization
The dialog Create a client organization opens. It says that creating is free, and that the organization shares your Agency plan's contacts and its 100 WhatsApp numbers.
Name it, and invite the client's admin
Enter the Organization name. To give your client access now, enter the Client admin email (optional). Then select Create organization.
Set up the new organization
Whatsable switches you to the new organization and opens Get started, where you connect its WhatsApp number.
Every owner of the agency organization becomes an owner of the new client organization. You can leave the email empty and invite the client's admin later from Team.
Switch between your organizations
While you work in the agency organization or one of its clients, the switcher groups your organizations: Your agency lists the agency organization, and Clients lists the client organizations you belong to, with their count. From any other organization, it lists all of them in one list. When you belong to more than 8 organizations, a search field at the top of the menu filters the list by name.
What your organizations share
- Contacts are one pool. The Agency plan's contact tier covers all of your agency's organizations together, not each one. Each organization counts its own contacts as usual: a contact counts once per organization per billing period, the first time it exchanges a message with that organization. A person who writes to two of your organizations counts in both.
- The 80% and 100% notices, and the 80% email, go to the agency organization and are decided on the pool. A client organization raises none of its own. Billing in the agency organization shows the pool's usage.
- 100 WhatsApp numbers in total. Agency includes up to 100 connected numbers across all of your organizations, not 100 in each. Connecting a number that would take the total past 100 is refused. To connect another, unlink one first in any of your organizations.
Everything else stays separate. Conversations, contacts, templates, broadcasts, labels, AI agents, integrations and API keys belong to the organization they were created in, and a teammate sees only the organizations they are a member of.
What it costs
| Cost | |
|---|---|
| Creating a client organization | Free |
| Every owner of the agency organization, in each client organization | Free |
| One seat in each client organization, for the client's admin | Free |
| Each other teammate, in any of your organizations | $12 a month |
| Contacts above your Agency tier, across all your organizations | $13 for each extra 100 |
| WhatsApp numbers, up to 100 in total | Included |
Everything is billed on the agency's one subscription and one invoice. The seats of all your organizations add up on one seat line. Meta bills its own conversation fees. See team seats and plans for how seats and overage are charged.
How the client's admin gets access
When you enter the client admin email, Whatsable emails that person an invitation to the new client organization, with the Admin role. They open the link and accept. The invitation uses the organization's free seat, so accepting it charges nothing.
The client's admin belongs to that client organization only. They do not see the agency organization or your other clients, unless you invite them there too. As an Admin, they can invite their own teammates. Each teammate beyond the free seat is a paid seat on the agency's subscription.
What the client's admin sees on Billing
In a client organization, Settings → Billing shows an Owner or Admin who is not an owner of the agency organization one notice: "This organization's plan is managed by your agency". It shows no plan card, no usage meter and no Manage billing button. The client's admin sees this notice. The agency's owners see the plan as usual.
A teammate with the Member role cannot read the plan in any organization, so in a client organization they see the same read-only Billing page they would see anywhere else, not the notice.
If your agency leaves Agency
- From the app, the plan stays on Agency while you have client organizations. A plan change to Pro or Bulk Message, from any of your organizations, is refused with the number of client organizations. Contact support to move them first.
- A client organization cannot start its own checkout. Its plan is the agency's.
- If the plan leaves Agency anyway, for example after a cancellation, the client organizations lock, as an unpaid organization does, and their contacts stop counting on your card. Moving the agency back to Agency opens them again.
Moving a client organization onto its own subscription, handing it over to your client, or deleting it is done by Whatsable support.
How client organizations work with other features
Team roles
Roles work the same in every organization. See team roles and access. An owner of the agency organization is an owner of every client organization created after they became one. An owner added to the agency later is not an owner of the existing clients; ask support to add them.
The API and the MCP server
Each API key belongs to one organization. Create a key in each client organization that needs one, on its API keys page in the sidebar. A Zapier, Make or n8n connection uses one key, so it acts for one organization. The same is true of an AI app connected through the MCP server. There is no API call that creates an organization. GET /v1/me reports the shared contact limit. See API keys.
Integrations and AI agents
Each client organization connects its own integrations, such as Pipedrive, monday.com, Attio, Make, Zapier, n8n and webhooks, and has its own AI agents. Every Agency feature is open in each client organization.
WhatsApp numbers
Each organization connects its own numbers, in Settings → Business Numbers. When your organizations hold more than 100 numbers between them, the numbers connected last are over plan: they keep receiving messages but cannot send. See business numbers.
FAQ
Does a client organization cost extra?
No. Creating one is free. You pay only for paid seats ($12 a month each) and for contacts above your Agency tier ($13 per 100), on the agency's one subscription.
Do my clients share contacts with each other?
The limit is shared, not the contacts. Each organization keeps its own contacts and conversations. Only the count is added up against your Agency tier.
How many client organizations can I create?
Up to 99, so that your agency has at most 100 organizations, the agency organization included.
Can my client see my other clients?
No. The client's admin is a member of their own organization only.
Can a client organization have its own plan?
Not from the app. A client organization uses the agency's plan. Ask support to move one onto its own subscription.
