Pipedrive
Connect WhatsAble to Pipedrive to log WhatsApp conversations as activities, create persons, deals and leads, and send WhatsApp messages from deals and persons.
WhatsAble integration with Pipedrive
This guide shows how to connect WhatsAble to Pipedrive. After you connect, WhatsAble writes your WhatsApp conversations into Pipedrive, and your team sends WhatsApp messages from deals and persons.
What the integration does
Conversations become activities
Each WhatsApp message, sent or received, becomes a done activity on the matching person, deal, lead or organization.
New chats create records
A message from an unknown number can create a new person. A new chat can also create a deal, a lead, or both.
Send from a deal or person
Open the WhatsAble chat window in Pipedrive. Reply, send an approved template, or schedule a message.
WhatsAble inbox in Pipedrive
Read your WhatsApp conversations in a Pipedrive window, mark them read or unread, and start new conversations.
The integration works with the other WhatsAble features. Messages that your AI agent, your broadcasts, the API or the WhatsApp Business app send also become Pipedrive activities. The activity names the source, for example "You (via AI)".
Prerequisites
WhatsAble account
A WhatsAble organization on the Pro or Agency plan, with at least one connected WhatsApp number. The Basic plan does not include Pipedrive.
Pipedrive account
Access to a Pipedrive company.
Only organization owners and admins can connect Pipedrive or change its settings in WhatsAble.

Set up your WhatsAble account
Connect your WhatsApp number
Before you send WhatsApp messages, complete the embedding process. It connects your WhatsApp Business account to WhatsAble.
Meta requires the embedding process for business verification and for compliance with the WhatsApp Business Platform policies.
Set up message templates
WhatsApp lets you send two types of messages:
A template is a message format that Meta approves before you send it. A template can have variables for personalization. You need a template to start a conversation, or to write after the 24-hour customer service window closes.
Open Templates
In WhatsAble, click Templates in the menu.
Start a new template
Click New template.
Choose the number
If you have more than one WhatsApp number, choose the number the template is for.
Fill out the form
Complete the template form:
A name for internal reference
The language of the template
The message category
Optional. A header for the message
The message text. Use Insert variable to add a placeholder for personalization
Optional. A short line below the body
Optional. Quick replies or call-to-action buttons
Submit for review
Click Submit for review.
Meta decides most templates within 15 minutes. Some take up to 24 hours. Templates without promotional language get approval more often.
For the full template guide, see Message templates.
Inside the 24-hour customer service window, you can send these messages without a template:
Text
Plain text messages
Images
Photos and graphics in supported formats
Documents
PDFs, Word documents, and other file types
Videos
MP4 and other supported video formats
The 24-hour customer service window opens when the customer writes to your business. You can send non-template messages only while it is open.
Connect WhatsAble to Pipedrive
Open the Pipedrive page
In WhatsAble, open Integrations → Pipedrive.
Start the connection
Click Connect Pipedrive organization.
Allow access in Pipedrive
Pipedrive opens and asks you to allow access. Review the permissions and allow access for your Pipedrive company.
Confirm the connection
Pipedrive sends you back to WhatsAble, and the message "Pipedrive connected." shows. The page shows a Connected badge and a card with your Pipedrive company, the Connected date, the Company ID and the Pipedrive user.
Your Pipedrive company is connected. Continue with the settings below.
If WhatsAble is already installed in Pipedrive, click Connect Pipedrive organization. The first time, click Install the Pipedrive app, or open https://api.whatsable.app/integrations/pipedrive/auth. If you are not signed in, WhatsAble asks you to sign in or create an account, then connects the Pipedrive company.
Each Pipedrive company links to one WhatsAble organization. A new connection syncs only the messages that arrive after it.
A teammate who does not see the WhatsAble panel in Pipedrive may need to authorize the app once in their own Pipedrive account.
Choose your sync settings
The Pipedrive page shows these settings before you connect, with the controls disabled. After you connect, choose the values and click Save changes. The message "Pipedrive settings saved." confirms the save.
When activities sync
| Setting | Options | What it does |
|---|---|---|
| Interval | Instantly, Every 10 min, Every 30 min, Every 60 min / 1 hour | How often WhatsAble writes WhatsApp activities to Pipedrive. With an interval, the messages of that period go into one activity. |
| Timezone | Any timezone | The timezone of the message times in an activity. WhatsAble sets it from your browser when you connect. You can change it. |
| Activity type | Automatic, or Choose a type | The Pipedrive activity type. Automatic uses Email when that type is on in Pipedrive. Otherwise it uses Task, Call, or Meeting. |
The interval applies to a person that already exists in Pipedrive. When WhatsAble creates a new person, it writes the first activity at once.
WhatsApp numbers
Each connected WhatsApp number has its own card. Set these options for each number:
When it is off, messages on this number never create Pipedrive activities.
The record types that get the activity: Deal, Lead, Person and Organization. Turn on one or more.
When it is on, a message from an unknown contact creates a new person in Pipedrive.
What a new chat creates. See the next section.
Action on new chat
Two situations have their own action. Each action that creates a deal also needs a Pipeline.
| Situation | When it applies | Actions |
|---|---|---|
| No open deals or leads | A new message arrives, and the matched person has no open deal or lead. | Create new deal, Create new lead, Create deal and lead, Do nothing |
| Closed deals | A message is sent or received, and the matched person has only a closed (won or lost) deal. | Create new Deal, Continue syncing to a closed deal, Reopen last closed deal, then sync messages |
A deal or lead that WhatsAble creates has the contact's name followed by "(Via WhatsApp)" as its title. A new deal and a reopened deal apply only to a message that arrives after the deal closed.
What WhatsAble writes into Pipedrive
Each activity has a subject like "Whatsapp chat (2026-10-29) via Whatsable (+15551234567) on +15557654321 (Your business)". The first number is the contact. The second number is the WhatsApp number that sent or received the message.
The activity note holds the message text and the speaker. A received message shows the contact's name or number. A sent message shows "You", or the source, for example "You (via AI)", "You (via broadcast)", "You (via API)" or "You (via WhatsApp Business App)". A voice note with a transcript shows the transcript.
WhatsAble marks each activity as done. Images, documents, audio and video files of up to 50 MB are attached to the activity.
WhatsAble finds the person by phone number. When Auto-add chat as new person is on and no person matches, WhatsAble creates one with the contact's name and phone number.
If your Pipedrive has a person field named "WhatsApp Username", WhatsAble writes the contact's WhatsApp username into it.
WhatsAble adds the activity to the person's open deals and open leads. When the person has none, the Action on new chat settings decide what WhatsAble creates or reopens.

If the person has more than one phone number, choose one in Contact number. If you have more than one WhatsApp number, choose the sender in WhatsApp number.
The window shows the recent messages with this contact. From the window, you can do the actions below.
Send a message now
Type the message
Type your message in the Type a message box. To add a file, click the paperclip.

Click Send.
You can send a free message only while the 24-hour customer service window is open. When it is closed, the window shows "Session closed. Only approved templates can be sent".
Send a template
Pick a template
Click Template. Choose an approved template from the list.

Choose the time
Pick a suggested time, for example Tomorrow morning, or pick Another time. WhatsAble uses your browser's timezone.
Set the conditions (optional)
In Send only if, choose a reply condition, for example No reply within 24 hours. With Only if labels match, the message goes out only when the contact has, or does not have, the labels you choose.
Confirm
Click Schedule. WhatsAble sends the message at that time, if the conditions are true.
A scheduled message cannot include files.
The WhatsAble inbox in Pipedrive
The WhatsAble inbox shows your WhatsApp conversations in a Pipedrive window. You can read and reply to conversations, mark them read or unread, and start a new conversation with a template.
Payment failures
When a payment for your WhatsAble plan fails, Pipedrive keeps working for 15 days. Activities keep syncing in that period. The Pipedrive page in WhatsAble and the WhatsAble panel in Pipedrive show how many days are left. An owner can update the card in Settings → Billing.
After 15 days, or when the subscription is canceled, Pipedrive stops until the organization has an active Pro or Agency subscription again.
Disconnect
Open the Pipedrive page
Open Integrations → Pipedrive.
Disconnect
Click Disconnect, then confirm.
WhatsApp activities stop syncing to Pipedrive. The WhatsAble panel and inbox in Pipedrive show "Whatsable is not connected" until an admin connects again. Messages that arrive while Pipedrive is disconnected do not sync later.
Best practices
WhatsAble matches persons by phone number. Save numbers with the country code (for example +1 for the US) for a reliable match.
Turn on only the record types your team reads. Activities on deals help sales. Activities on persons keep the full contact history.
Use a pipeline for WhatsApp leads, so that new chats do not mix with your other deals.
Create templates for the messages you send often. Test each template with your own number before you use it with customers.
The chat window shows the recent messages. Read them first, so that you do not send the same information twice.
Use Send only if so that a follow-up does not go out after the customer already replied.
Troubleshooting
An admin must connect Pipedrive in WhatsAble. Open Integrations → Pipedrive and click Connect Pipedrive organization.
Pipedrive needs an active Pro or Agency subscription. An owner can subscribe or upgrade in Settings → Billing.
Connect a WhatsApp number in Settings → Business Numbers. If the problem continues, contact WhatsAble support.
Check the number settings
On the Pipedrive page in WhatsAble, make sure Write activities is on for the number. Turn on at least one record type.
Check the interval
With an interval, the activity arrives at the end of that period.
Check the activity type
If the chosen activity type is off in Pipedrive, WhatsAble uses an active type. Choose another type, or turn the type on in Pipedrive.
Check your Pipedrive subscription
When your Pipedrive subscription is unpaid, Pipedrive refuses the requests from WhatsAble. Connecting again does not fix this.
The list shows only templates that Meta approved for the chosen WhatsApp number. Create a template under Templates and wait for the approval.
Add a phone number to the person in Pipedrive. Include the country code, for example +1234567890.
Check the conditions you set. A message with Send only if or Only if labels match does not go out when the condition is false. Also check that your WhatsApp number was connected at the scheduled time.
Check the recipient
Make sure that the recipient has an active WhatsApp account on that number.
Check the content
Make sure that your message follows the WhatsApp Business messaging policies.
Contact support
If the problem continues, contact WhatsAble support with the message details.
